Travel insurance is often considered when travelers move from domestic trips to international travel, where costs and risks can be higher. This article provides a clear, policy-aligned overview of how trip cancellations typically work when travel insurance is purchased as a separate item.

In short: trip refunds are determined by the travel provider and applicable supplier/carrier rules, while insurance reimbursement (if eligible) is determined by the insurer under the plan’s terms, conditions, and exclusions. Thus, the purpose here is explaining how Natural Flow Travel handles cancellations and refunds when a traveler also purchases Travel Insurance as a separate line item on the invoice.

1) Two Separate Purchases: Trip Booking vs Insurance

  • Trip booking (Natural Flow Travel): Refunds are governed by our cancellation/refund policy and each supplier/carrier’s rules.
  • Travel insurance (such as Allianz): Coverage, claim decisions, and any refund of the insurance plan price are governed by the insurer plan documents. (only focus on the travel industry)

Important: Canceling your trip does not automatically cancel your insurance, and canceling your insurance does not automatically cancel your trip.

2) Neutrality & Licensing (No Insurance Advice)

  • Natural Flow Travel may provide general information about travel insurance (coverage descriptions and price).
  • We are not licensed to provide insurance advice, interpret coverage, or recommend a specific plan.
  • For coverage questions, refer to your travel insurance plan documents or contact the insurer directly.

3) If You Cancel Your Trip (What Natural Flow Travel Refunds)

We refund only what is refundable under:

  • our policy (including timing windows such as the 72-hour period after itinerary acceptance, where applicable), and
  • supplier/carrier terms, and
  • what has already become non-refundable or subject to penalties.

Travel insurance does not change supplier refund rules or make non-refundable items refundable.

4) Insurance Reimbursement (What They May Cover)

If you purchased travel insurance policy, you may be eligible to file a claim for certain prepaid, non-refundable expenses if your situation meets a covered reason and is not excluded.

The travel insurance company determines:

  • whether your reason is covered,
  • what documentation is required,
  • and the reimbursement amount (if any).

5) “Free Look” Period (Refund of Insurance Plan Price)

  • Travel Insurance plans may include a free look period (commonly 15 days or more depending on your state of residence) to review your plan.
  • If you cancel within the free look period and meet plan conditions, you may receive a full refund of the plan price.
  • After the free look period, the plan price is generally non-refundable.
  • Typically, no refund is available if the trip has started, a claim has been filed, or the policy has ended (see your plan details for exact rules).

6) Documentation Support for Insurance Claims (What We Provide)

Upon request, we can provide documentation to support your travel insurance claim, such as:

  • proof of payment and booking confirmation
  • an itemized invoice showing trip components and the separate insurance line item
  • our refund decision breakdown (refundable vs non-refundable)
  • cancellation confirmation and timestamps
  • supplier penalty/non-refundable confirmations when available

7) Service Fee Adjustments (Case-by-Case Goodwill)

  • In certain cancellation situations, we may choose to reduce or partially refund some service fees as a goodwill adjustment.
  • This is not guaranteed and is evaluated case-by-case based on:
  1. timing,
  2. work already delivered,
  3. supplier booking status/penalties

      8) Refund Method, Timing, and Re-Review

      • Refund method: Approved trip refunds are returned to the original payment method only.
      • Processing time: We process approved trip refunds within 7 business days (banks may take additional time).
      • Re-review window: If you believe a decision is incorrect, you may request a re-review within 5 business days of receiving the decision and include any supporting documents.
