Refund and cancellation policies can feel confusing—especially when a trip includes multiple suppliers (hotels, tours, transport) with different rules. At Natural Flow Travel LLC, we aim to make this process clear and fair.
This post explains:
- What we review when you request a cancellation or refund
- Why some items may be refundable while others are not
- Example case studies (fictional) showing how a refund total is calculated
Quick definitions
- Itinerary acceptance time matters. Many refund outcomes depend on whether your request is made within 72 hours after itinerary acceptance or after 72 hours.
- Supplier rules matter. Some costs become non-refundable once tickets are issued, reservations are locked, or deadlines pass.
- Some items are always non-refundable. For example, voluntary seat upgrades/seat selection fees are typically non-refundable.
Important note about these case studies (please read first)
The case studies in this post are refund/cancellation examples only. They are not travel insurance examples, and they should be considered separate from any travel insurance policy coverage.
We plan to publish a separate set of case studies for travelers who choose to purchase travel insurance, showing how outcomes may look when insurance is involved.
These examples assume the traveler did not use travel insurance coverage for the situation.
Travel insurance can sometimes help protect your trip investment depending on the plan, reason, and documentation.

What we review (so you’re not left guessing)
When we receive a cancellation/refund request, we review:
- The itinerary acceptance timestamp (for the 72-hour window)
- Supplier refund terms and penalty timelines
- What was already paid/ticketed/locked in
- Which components are refundable vs non-refundable

6) Next Steps (Questions or Re-Review)
- If you believe this decision is incorrect, request a re-review within 5 business days and include any documentation that may show the no-show was caused by factors outside your control.
